Cancellation Policy

Please see our cancellation policy below, with a particular focus on last-minute changes, late cancellations, and missed appointments.

Rescheduling or Cancelling Appointments: More than 24 Hours’ Notice

If you need to reschedule or cancel your appointment with more than 24 hours’ notice, simply contact us by phone or email. We never charge for changes made with sufficient notice (>24 hours’ notice).

Rescheduling or Cancelling Appointments: Less than 24 Hours’ Notice

For cancellations or appointment changes made with less than 24 hours’ notice, the full fee of the appointment will be charged. This should not be seen as a penalty but is applied because we have fixed running costs. Furthermore, changes made with sufficient notice ensures that other patients who are on the waiting list aren’t deprived of a slot.

We understand that there are sometimes unforeseen circumstances, and we forgive the charge on a case-by-case basis. Typically, we do not accept work commitments, normal childcare commitments, or minor illness as a valid reason for a late cancellation or rescheduling of an appointment. If you are feeling unwell and may be contagious, please contact us as soon as possible to reschedule.

Our preference is to rebook your appointment within the same week whenever possible, especially if you are in the early stages of your treatment plan when missed treatments could affect your rate of recovery.

Missed Appointments

For appointments that are missed without notice, the full fee of the appointment will be charged. This should not be seen as a penalty but is applied because we have fixed running costs. Furthermore, changes made with sufficient notice ensures that other patients who are on the waiting list aren’t deprived of a slot.

If you are going to be late for your appointment, please call ahead to let us know and ask if there is a free slot available on the day. If a free slot is not available, a missed appointment fee will be applied. We will do our best to reschedule the appointment to a more convenient time later in the week whenever possible.
